With Automize's Rights Management App, automatically assigning roles and rights has never been easier

From a business perspective, it is critical that users always have the access they need to do their jobs.

"With the Rights Management App, you can connect your Active Directory directly with ServiceNow, here you can access all your users, groups, memberships and existing rights from ServiceNow. This makes it possible to automate many processes that were previously a time-consuming task for many IT departments.”

This is how Evangelia Miariti briefly explained how Automize's new Rights Management App works and what it can be used for. However, Evangelia states that the Rights Management App is not only limited to these tasks.

The Rights Management app can save organizations time and resources

Evangelia Miariti works as an Application Developer at Automize and has acted as one of the primary developers on the Rights Management App. For her, there is no doubt that the Rights Management App will be able to save organizations many hours of manual work.

The Rights Management App can be used for simple onboarding / offboarding of employees or for more complex organizational changes where several people move from one department to another. These changes can, via the Rights Management App, be planned in advance so that users receive access and rights on a specific day. Either way, it's important to make sure they have all the access they need, when they need it, and that the access they should no longer have at any given time is removed.

”It is critical that users always have the access and rights they need, and that the organization can automatically remove access and rights when they are no longer needed. In this way, ordinary users can carry out their work efficiently and without problems. This can often be a challenge for many companies, as this is a complex task that usually has to be solved manually," explains Evangelia Miariti.

Security and automation are two sides of the same coin

"There can be many different reasons why an employee needs more access. It may be that you want to set up a project group, or that you need to move some users to another department. Here, it is important that the employee only gets the exact access they need, in order to increase the company's security. The Rights Management App can help you with this," states Evangelia Miariti.

From a security perspective, automation is also important as we don't want users to have access to systems they don't need access to. Likewise, it would be sensible to restrict administrators' access so that your users only act as an administrator and only have administrative access when this is required. Having permanent administrators equals permanent and unnecessary risk.

"From a security perspective, it is incredibly important that, as far as possible, you always try to limit the access your users and administrators have. If you want to be sure that only the necessary access is granted, you need to consult your Active Directory to see who has which positions and responsibilities in the company. This is where the Rights Management App provides a good overview," says Evangelia Miariti.

What is required to be able to use the Rights Management App?

Evangelia Miariti explains that the Rights Management App is built in such a way that it is easy to work with and flexible. The idea with the app is that it is built on software that IT departments already know, so that the barrier is as low as possible and that they can start working in the app immediately.

"When we developed the Rights Management App, we did it according to Microsoft and ServiceNow Best Practice standards. The technical core is based on Powershell and Azure Automation. From a ServiceNow perspective, the Rights Management App is very easy to use. You can even create directly in Flow Designer, and of course you can build your own Flows," says Evangelia Miariti

"The Rights Management App is of course ServiceNow certified, which means that all necessary licenses are included with the app. In order to use the Rights Management App, it is necessary that you already have the Automize Automation App.”

There are many examples of how the Rights Management App can be used

By monitoring Active Directory, you can get a full overview of who has access to what directly in ServiceNow. You can share this using standard ServiceNow reporting, or you can enable alerts or enforce compliance with approved group memberships of your choice.

"With the Rights Management App, you can perform many tasks. You can automatically request and have a password reset, which can save a ServiceDesk an incredible amount of time. You can also set up time-limited memberships, which helps to increase the company's security," says Evangelia Miariti.

"If you want, you can also streamline the entire onboarding process of new employees, which is a notoriously slow process that swallows up many precious working hours. With the Rights Management App, you can ensure that the user has the access they need from day one," states Evangelia Miariti.

Businesses and end users get a better service that is more secure

Just getting an overview of who has what access in the organization can be a challenge in itself - password resets, fast on- and off-boarding and convenient enforcement of internal compliance are just a few examples of areas of use. With the Rights Management App, your company gets a quick and complete overview of all users' rights. The option to integrate directly into Flow Designer allows access control to become a natural part of the company's processes and procedures.

"With the Rights Management App, you can work directly in Flow Designer, and we have naturally already put in a lot of standard flows from Automize's side, which you can use if you want. This means that you don't actually need to build anything yourself, but if you would like to create your own flows or edit the ones that we have made available, you are free to do so," explains Evangelia Miariti.

"The Rights Management app enables us to deliver just-in-time access and a true self-service experience for end users." – Kim Johansen, Operations Manager, Automize.
